How Availed Brings Your Dream Wedding to Life

You’re engaged! Congratulations!! Your wedding day is one of the most important days of your life—but let’s face it, planning it can feel like a full-time job. At Availed, our goal is take the stress off of your shoulders, turning your Pinterest board into a reality. But what exactly can a wedding planner help with when it comes to your wedding design? Keep reading for a step-by-step guide through Availed’s design process.

We like to split it up into 5 crucial steps: pre-work, design discovery, design proposal, vendor selection, and day-of coordination. Our Availed wedding planners are committed to working with you and ensuring your vision is executed, every step of the way. You can count on us to bring your dream wedding to life!

Pre-work

Once you decide to work with us, we will send you a design discovery questionnaire that asks basic questions around your budget and any details you’re gravitating towards. These could include a color palette, any specific design elements you envision on your big day, and whether you like or dislike certain wedding styles. Popular wedding styles include boho, classic, and glam (take a look at our Pinterest boards here to get a better idea of each style!). Also, if you already have a wedding board, now is the time to share it with us! If you don’t have one, no worries, we ask that you take some time and pick a few photos on Pinterest that resonate with what you’re looking for. The questionnaire and any photos you can provide go a long way in helping us help you!

Design discovery meeting

This is a 90 minute meeting in which we get into the detail of figuring out what your wedding will look like. The first 30 minutes is spent going over all of Availed’s tools that are at your disposal (spoiler alert! It’s a custom planning guide and aisle planner software access), getting a general timeline of the high level events, answering questions, and going over what you can expect from us. Then, we ask you to expand on some of your responses from the questionnaire to understand what you’re gravitating towards design-wise. If you have a Pinterest board, we ask you to pick out a handful of images that you particularly like, and we talk through them to understand the specific elements of each that are appealing (like florals, tables, or linens). If you’re not finding photos you like, we can go through images from Availed weddings and discuss your preferences from there. We also ask you to inform us of any personal details you would like to have on your day at this time as well. The design discovery meeting is very conversational and low stakes– we want to get to know you and your vision to give you the most magical wedding day!

Design Proposal Build

Following the design discovery meeting, we will spend the next 4-6 weeks crafting a design proposal. It is a PDF file that should represent the style and aesthetic of the day. It will consist of 10-12 pages detailing your tables, floral, stationery, lounge furniture, lighting fixtures, and more. After viewing it, you give us feedback, and we can go back and forth as many times as they want until you feel it truly illustrates your day. The proposal is more photos than text to help you see all of these details at your wedding– and the best part? We’ve already vetted where we can source anything we’ve pictured in your proposal! Once you sign off on our design we can begin vendor selection!

Vendor Selection

Once we finalize your design proposal, we tweak it to turn that proposal into a style guide. The style guide is a vendor-facing tool that will help inform your vendors of the style aesthetic for your wedding day, which will allow them to curate the best services/end products for you. Our Availed wedding planners will start with a selection of excellent vendors that we have previously worked with that can bring your design to life, within the agreed upon budget. From there, we reach out, understand availability, and get initial quotes as a starting point. They will also set up meetings that they will attend and facilitate to ensure that you pick the vendor that can best execute your vision! And when you’re ready to book your dream vendors - our Planners will coordinate whatever is needed to lead you to that point!

Day-Of Execution

On your wedding day, our Availed team comes together to take care of all the logistics. They coordinate with vendors to determine when to come in, set up, and tear down, along with ensuring that all your decor elements align with the design proposal. Our expert team works like a well-oiled machine to make your day happen seamlessly– and look beautiful!
